TenderMatrix (“we”, “us”) provides a compliance matrix copilot for RFP/tender responses. This Privacy Policy explains how we collect, use, and share information when you use our website and services (the “Service”).
1. Information we collect
- Account information: name (if provided), email address, organization name.
- Customer content: documents you upload (PDF/DOCX), extracted requirements, responses, evidence items, and any other content you submit in the Service.
- Usage and technical data: log data (IP address, timestamps), device/browser info, pages/actions in the app, and error diagnostics.
- Billing information: handled by Stripe. We receive subscription status and limited billing metadata (e.g., customer/subscription IDs), not full card details.
2. How we use information
We use information to:
- Provide and operate the Service (uploading, processing, generating matrices, exporting).
- Authenticate users and manage accounts.
- Process payments and manage subscriptions.
- Maintain security, prevent abuse, and debug issues.
- Improve the Service (e.g., product analytics and quality improvements).
3. AI processing
To provide core features (requirement extraction and drafting), we send relevant portions of Customer Content to an AI provider via an API (OpenAI-compatible). We do not intentionally send more data than needed for the requested feature. AI outputs may be inaccurate and should be reviewed.
5. Data retention
We retain account information and Customer Content while your account is active or as needed to provide the Service. You may request deletion of your account and associated data by contacting us.
6. Security
We use reasonable administrative, technical, and physical safeguards designed to protect information. No method of transmission or storage is 100% secure.
8. Your rights
Depending on where you live, you may have rights to access, correct, or delete your information, or object to certain processing. You can contact us to request these actions.
9. International data transfers
Our providers may process data in different countries. By using the Service, you understand information may be transferred and processed outside your country.
10. Children
The Service is not intended for children under 16.
11. Changes
We may update this policy from time to time. We will update the “Last updated” date and may provide additional notice for material changes.
